Bilingual Clinic Coordinator / Medical Operations Coordinator (Part-Time)

We are a growing private medical practice based in Mallorca, providing high-quality, patient-centred care to an international community.
Our focus is on thoughtful, unhurried medicine — creating an experience where patients feel listened to, reassured, and well cared for. As the practice grows, we are looking for a reliable and capable person to help coordinate the day-to-day running of the clinic.
This is a key role within the practice and will suit someone organised, calm, and confident communicating with both patients and clinicians. Over time, there is scope to take on increasing responsibility and play an important part in the development of the practice.
This role would suit someone with experience in healthcare, administration, hospitality, or a similar client-facing environment, who enjoys taking ownership of their work and contributing to a well-run, professional service.
Role Overview
You will be the first point of contact for patients and an important support for the smooth running of the clinic. You will also act as a central point of coordination when other doctors are working in the clinic.
This is not a purely administrative role — it requires judgement, communication skills, and a proactive approach. You should feel comfortable taking ownership of your work and helping ensure that the clinic runs smoothly and efficiently day-to-day.
Key Responsibilities
• Answer incoming calls and respond to patient enquiries (email, phone and WhatsApp)
• Book appointments and guide patients to appropriate services
• Coordinate blood tests and communication with partner laboratories
• Support the day-to-day running of the clinic
• Act as a point of contact for visiting doctors (e.g. practical questions about processes)
• Ensure a smooth, calm, and professional patient experience at all times
• Act as a chaperone for certain clinical examinations when required
Working Hours
• Part-time: approximately 3–4 hours per day
• Primarily mornings (Monday–Friday)
• Some flexibility may be helpful depending on demand
Location
Mallorca (Palma city centre / some remote hours initially)
Requirements
• Excellent English (native or C2 level) — essential
• Strong Spanish (approximately B2–C1 level), comfortable communicating confidently with local healthcare providers and Spanish-speaking patients (this will be assessed at interview)
• Highly organised and reliable
• Calm, professional communication style
• Comfortable using technology (booking systems, messaging, etc.)
Applicants must already have the legal right to live and work in Spain in order to be considered for this role. Successful candidate will be asked to provide relevant background checks.
Desirable (but not essential)
• Experience in a healthcare or customer-facing role (including hospitality, yachting, etc.)
• Experience working with international clients or patients
• Previous coordination or operations experience
• Additional languages
Contract
We are open to working with either:
• Autónomo (freelance) arrangement, or
• Part-time employment contract (initial 6-month period)
Compensation
• €13–15/hour depending on experience, with flexibility for the right candidate
